Set-Up Tips
• Do not overset the room. If you are planning on 200 people, please set the room for 200 or fewer, not 250. It is preferable to have every seat taken than to have large empty spots throughout the audience and an empty front row.• Keep the front row close to the stage. Six feet away is ideal.
• Note the room shape. For rectangular rooms, please set the stage against the long wall. It's better to have an audience wide than deep.
• Set two small aisles on either side of the center. Large center aisles take up prime viewing real estate.
• Stagger chairs. Don't put one viewer directly behind another.
Room Set-Up and AV Needs
• Raised platform high enough to give audience members an unobstructed view of the speaker.• Additional lighting on the presenter gives a much more professional look to your event and helps the audience focus.
• Dark backdrop helps the audience see the presenter's face.
• Wireless microphone, hands-free
• Audience microphones if you plan to record. These will pick up audience questions and responses.
• Speakers in the front, middle, and rear of the audience.
• Music to play before and after the presentation.
• For videotaping use BetaSP format rather than SVHS.
• For audiences under 500, set for an overhead presentation.
• For audiences over 500, set for a PowerPoint presentation.
